About your Student App account
The Student App does not create a separate account. You sign in with the Microsoft 365 account issued to you by the College. The app shows information the College already holds about you — such as your timetable, attendance, exam entries, messages, guidance appointments and bursary applications — and, where you choose to use those features, your device location (for journey planning and nearby buses) and any photo you attach when reporting an absence.
How to request deletion of your account and data
To request deletion of your Student App account and the personal data associated with it, email the College at info@sgmc.ac.uk, stating:
- your full name,
- your College ID / student number, and
- that you are requesting deletion of your Student App account and data.
This inbox is monitored regularly and your request will be passed to the IT team who action the deletion. You can also start this request from inside the app: open Menu → Settings → Account deletion → Email the College, which opens a pre-addressed email to info@sgmc.ac.uk.
What will be deleted
On receipt of a valid request we will delete the personal data associated with your use of the Student App, including:
- your app profile and cached app data (timetable, attendance and messages held for the app),
- your push-notification device registration,
- any location data submitted through the Journey Planner or Nearby Buses features, and
- any photos you attached when reporting an absence.
What may be retained
Some information may be kept where the College is required to retain it to meet a legal, regulatory or safeguarding obligation (for example, statutory attendance and student records). Where data is retained for these reasons it is kept only for as long as the law requires and is then securely deleted. Full retention periods are set out in the College's Data Protection Policy.
If you leave the College, your Student App account is automatically deleted six months after your leaving date.
How long it takes
We action verified deletion requests within one month, in line with UK GDPR. If a request is complex we may extend this by up to two further months and will let you know if so.
